CAP is slating its 2020 executive board! Please consider nominating yourself or a Panhellenic sister for an officer or committee chair role (first-timers are welcome!). Please include a concise statement of your (or the candidate's) interest and qualifications for each office/chair position for which you (or the candidate) wish to be considered, including ranking them if more than one. Please include your (or the candidate's) email and phone number (if you have it) as well.
Pursuant to CAP bylaws, officers are elected by delegates of dues-paying organizations and committee chairs are approved by the president and executive board. Terms are from March to March. The Nominations Committee will prepare the slate for consideration of delegates at the annual meeting, date currently TBD. To pay your dues, please send payment to 312-834-9909.
Moriel Daniel, current Executive board member, will serve as Nominating Committee Chair. We are looking for 2-4 other Panhellenic women to sit on the committee. Committee members cannot be running for a CAP position in 2020. To join the nominating committee please email Moriel directly at: [email protected]. Executive Officers
President
The president shall be an ex-officio member of all committees except the Nominating Committee. Except where otherwise provided in these bylaws, she shall appoint all committees subject to the approval of the Executive Board, shall establish a job description for each officer, shall maintain the official files of the organization, and shall review the bylaws. Following installation of officers, the president shall call a meeting of the Executive Board. She shall be responsible for the return of all reports requested by the NPC Alumnae Panhellenics Committee, including names of new officers to the NPC office and the area coordinator before June 1.
The president presides over cabinet meetings and quarterly delegate meetings. She is responsible for organizational planning, agenda-setting and larger goals and aims of the organization.
Time commitment: 1-4 hours per week, all CAP events (if possible)
Vice President
The vice president shall perform the duties of the president in the event of the president’s absence or inability to act. She shall be an ex-officio member of all committees except the Nominating Committee. She directly oversees the Social and Philanthropy chairs and is responsible for leading two cabinet meetings per year. She shall report to the President.
Time commitment: 1-3 hours per week, all CAP events (if possible)
Secretary
The secretary shall arrange for proper notice of all meetings. She is responsible for arranging meeting locations for monthly Exec/Chair meetings and quarterly Delegate meetings. She is responsible for preparing all monthly newsletters, meeting minutes and monitoring the CAP gmail account. She shall prepare the minutes of all meetings and the yearbook (or directory and schedule of meetings), if any, for the succeeding administration and shall send a copy to the area coordinator of the NPC Alumnae Panhellenics Committee. She shall also send a copy of any proposed amendment to these bylaws to the area coordinator for her approval. She shall maintain the organization’s electronic communication tool(s) and oversee all CAPsocial media. She shall report to the President.
Time commitment: Approximately 1 hour weekly, 5 hours per month
Treasurer
The treasurer shall pay, each year, the dues of the Alumnae Panhellenic to NPC. She shall have such other duties as the Council shall prescribe. She is responsible for administering dues provisions and collecting dues from alumnae chapters and individuals per the by-laws. She shall maintain a record of paid members, provide member listing to the CAP Officers for chapter business and activities. She also maintains the CAP bank account, provides account activity and balance to CAPOfficers at regular meetings and conference calls. She shall pay all bills, annual chapter dues, and reimbursements timely and inform the CAP President of any issues or questions regarding CAP funds. She will also keep records of bank account and payments for at least three years and provide CAP President with any information needed to prepare financial filings or returns. She shall report to the President.
Time commitment: 4 - 5 hours per month
Committee Chairmen
Philanthropy
The Philanthropy Chair maintains awareness of upcoming Chicago events and communicates with local organizations regarding volunteer opportunities. She shall coordinate at least two social action activities per year. These activities are open to both delegates and all members of local NPC alumnae groups. She shall also serve as the point-person for all local groups (sorority alumnae chapters, other alumnae panhellenics, and local collegiate panhellenics) for service and philanthropic endeavors. She shall report to the Vice President.
Time Commitment: 1-2 hours per week, all CAP-sponsored service events
Social
The Social Chair is responsible for the organization and ex*****on of CAP Social Events. She will plan 2-4 social events per year or more. This entails seeking event space and coordinating times and specifics of the events with the venue's contact. Other miscellaneous tasks include determining new and creative ways to enhance attendance at social events and to help with other committee and executive member's events and action items as necessary. She shall report to the Vice President.
Time Commitment: 1-2 hours per week, all CAP-sponsored social events
