HR & Office Administrator (Part-Time)

Jay’s Scrap & Waste Management Ltd is a well-established, family-run business with a strong reputation for delivering high-quality, reliable services. Due to continued growth and the upcoming retirement of a valued long-standing team member, we are looking for a proactive and organised HR & Office Administrator to join our friendly and busy team.
This is a varied and hands-on role, ideal for someone who enjoys balancing HR, administration, and finance support within a fast-paced environment.

The Role
You will play a key role in supporting the smooth day-to-day running of the office while taking ownership of HR administration and payroll coordination (via an external bureau), alongside assisting with accounting processes.

Key Responsibilities
• Manage daily HR and office administration, ensuring tasks are effectively prioritised
• Raise invoices and maintain records using QuickBooks Online (training provided if needed)
• Liaise with external accountants and support quarterly VAT submissions
• Process weekly and monthly payroll through an external payroll bureau
• Coordinate onboarding, including contracts, offer letters, and system setup
• Manage employee offboarding processes and system updates
• Monitor holiday and absence records, ensuring compliance and accurate reporting
• Provide time & attendance reporting and maintain absence trackers
• Support employee wellbeing initiatives and escalate absence issues when appropriate
• Assist with HR process improvements and maintain audit compliance
• Coordinate occupational health appointments
• Support the Director with training records and Health & Safety compliance
• Provide administrative support to site teams and assist with internal communications

About You
• Previous experience in an HR and/or Office Administration role
• CIPD Level 2 (or equivalent) or currently working towards it
• Strong IT skills, including Microsoft Office; experience with QuickBooks Online is desirable
• Some accounting knowledge would be advantageous
• Excellent attention to detail with the ability to meet deadlines
• Proactive, flexible, and a strong team player with a “can-do” attitude
• Confident communicator, able to be assertive when required

Working Hours & Salary
• Part-time: 3 days per week (8 hours per day, days to be agreed)
• Flexibility to increase hours during busy periods
• Salary: £29,120 – £31,200 (Full-Time Equivalent), dependent on experience
