The Independent Contractor works closely with the Property Management Company on the day-to-day communication and carrying out of duties and identification of maintenance, repair, and supplies needs.
The Independent Contractor shall:
• Work closely with the Property management company to identify and monitor violations to the community rules and governing documents, report identified violations and provide photographic documentation immediately to the Property Management Company for action.
• Perform ongoing inspections to identify safety issues and concerns and report immediately to the Property Management company and the board.
• Perform daily walkthrough of the property and pick up litter. Check all trash and recycling containers to ensure there is room for trash and recycled materials. Alert the Property Management Company to contact vendor as needed
• Urgent maintenance concerns need to be reported immediately via email to the Property management company. Routine maintenance needs are to be included in a detailed weekly report of specific duties accomplished. The weekly report must be emailed to both the Board and the Property Management Company for work order tracking.
• Check the conditions of both pools. Rearrange furniture if needed. Check all trash cans and replace liners if necessary. Clean ash trays. During spring and summer, clean and rinse off all tables, chairs, recliners, and decks twice a week. Add water when needed. Power wash pool furniture and area as needed.
• Supervise and monitor contractors assigned to the community to include:
• Pool Cleaning Contractor
• Gate Contractors
• Landscaping Contractors
• Irrigation system Contractors
• Any additional contractors that are hired to provide services/repairs to the Community.
• Monitoring of contractors includes ensuring the contractors complete the work hired to do, clean up after a job is completed, and confirm the work is completed as requested.
• Relay work completion to the Property Management company for vendor payment. If work is not completed as hired, vendor is to be notified by the Property Management company and requested to complete work. If any disagreements on work completion occur, the board members will be requested to validate the work completion before payment. • Meet with contractors to orient them on the specific needs and requirements of a project as specified in the Board-approved proposal.
• Identify any broken water sprinkler heads and box lids, mark them with caution tape to alert the sprinkler technician to prepare a proposal, and report to the Property management company.
• Respond to requests from the residents to remove / spray wasp nests. Notify the Property Management company when wasp nests may need to be evaluated for professional removal.
• Make the clubhouse ready before each use by cleaning kitchen appliances, tables, floors, and restrooms, and cleaning after use. The Property Management company will provide the Independent Contractor a schedule of the reservations and will coordinate changing the code to the key lockbox periodically.
• Replace common areas post lamps and covered parking lights as needed. Notify the Property Management company of existing inventory and need to reorder light bulb supplies.
• Consistently redirect all calls from owners and residents requesting repairs and maintenance items to the Property Management portal. The Independent Contractor is not authorized to act on behalf of the Board to agree to repairs or reimbursements, render opinions reserved for certified or licensed professionals, or authorize vendors’ work.
• Report to the Property Management company and the Board all owners’ requests to go inside units to inspect or complete repairs. These requests, should the Independent Contractor choose to carry out, must be completed outside of duty hours paid by the Association.
• Refrain from taking phone calls/ text messages from owners during off-duty times. Emergencies must be notified by owners directly to the Property Management company to their 24/7 answering service.
• Regularly check the property’s perimeter to identify and report to the Property Management company the need for fence repairs, need for treatment of stagnant water, water drainage issues and other matters to be reported to the City of San Antonio.
• Regularly inspect landscaping and carry out any watering needs of lawn, flowers/plants, and trees as identified and requested by the landscaping company, and the Property Management company especially for newly planted vegetation and during City of San Antonio water restriction periods.
• Carry out tasks as assigned and coordinated by the Property Management company or requested by the Board within the scope of this contract.
• Interact with all owners and residents in such manner that everyone’s privacy is respected. The Independent Contractor will not intervene in any way in residents’ private matters or communications they may be having with each other.
• Assist with special projects as assigned by the board and coordinated by the Property Management company and report on completion/status.
